At Gentle Roots Nature Care, LLC, we strive to offer quality, consistent programming in a nature- based environment. This policy outlines expectations regarding payment, cancellations, refunds, and credits for all services and programs.

1. Payment Terms

• Full payment or deposit is required at the time of registration, unless otherwise arranged.

• Payment can be made via online invoice, electronic transfer, or check.

• For recurring or session-based programs, invoices will be issued according to the agreed-

  upon billing schedule.

• Late payments may result in a late fee of 20% and/or loss of enrollment spot.

2. Deposits

• A non-refundable deposit is required to secure enrollment in certain programs.

• Deposits are applied toward the total program cost but will not be refunded in the event

  of cancellation.

3. Cancellation by Participant

• Notice Required: Cancellations must be submitted in writing (email is acceptable).

• Refunds:

  • Cancellations made 14 or more days before the program start date may be eligible for a partial refund, minus any non-refundable deposit.

  • Cancellations made less than 14 days before the program start are not eligible for a refund.

  • No-shows and same-day cancellations are not eligible for a refund or credit without prior discussion and confirmation.

4. Cancellation by Gentle Roots Nature Care, LLC

• We reserve the right to cancel a program or session due to low enrollment, extreme weather, unsafe conditions, or unforeseen circumstances.

• In such cases, participants will be offered a full refund or credit toward a future program.

5. Program Modifications

• No prorated refunds or credits will be issued for missed days due to participant illness, vacation, or personal scheduling conflicts without authorization.

• If a participant is asked to leave due to behavioral concerns or violation of policies, a refund may not be issued.
